Job Description
Job Title: Administrative Assistant (Apprentice) Role Summary: Provide day‑to‑day administrative support in a construction‑focused business, handling client and supplier reception, site scheduling, document management, and assistance to accounting and payroll functions. Expactations: - Deliver professional phone and in‑person client/facility reception - Maintain accurate project schedules with site managers - Update internal documents, legal notices, and compliance records - Prepare and monitor orders, quotes, delivery notes, and payment processes - Compile tax and payroll documentation for accounting staff - Work independently, show initiative, and manage multiple tasks under tight deadlines Key Responsibilities: - Manage front‑desk reception and telephone communications for customers and suppliers - Coordinate project planning by generating and updating schedules alongside managers - Ensure all company documents, posters, and legal obligations are current and compliant - Process sales documents: quotes, contracts, delivery orders, and invoice follow‑ups - Prepare and submit VAT returns and payroll bulletins to the accountant - Maintain accurate records of payments, receipts, and outstanding balances Required Skills: - Strong verbal and written communication in French (English optional) - Basic knowledge of accounting principles and payroll procedures - Proficiency in MS Office (Word, Excel, Outlook) and generic office software - Organizational ability to manage multiple administrative tasks simultaneously - Initiative, autonomy, and a rigorous, detail‑oriented approach Required Education & Certifications: - Secondary or tertiary level education with a focus on business or administration - Apprenticeship status preferred; relevant course certificates in accounting or social security are a plus.
