Job Description
**Job title:** Office Manager **Role Summary:** Manage day‑to‑day front‑of‑house operations for a neurodevelopmental clinic, ensuring a welcoming environment, smooth administrative processes, and adherence to regulatory and quality standards. Oversee reception duties, staff coordination, and KPI monitoring while supporting clinical teams and maintaining compliance with NHS, NICE, and CQC guidelines. **Expectations:** - Deliver professional front‑line customer service to patients, families, and visitors. - Maintain accurate sign‑in records and visitor passes. - Oversee front‑of‑house task completion, including phone handling, post distribution, and document scanning. - Monitor and report on KPIs in partnership with Quality Management. - Conduct regular audits of processes against protocols and regulations. - Lead a small team, motivating staff to meet targets. - Communicate with internal and external stakeholders, including service and commissioning managers. - Provide growth strategy input and support business development. - Cover occasional weekend shifts (every other Saturday/Sunday) and occasional work‑from‑home days. **Key Responsibilities:** 1. Reception management: greeting, signing in visitors, issuing passes. 2. Facility upkeep: ensuring waiting areas remain calm, welcoming, clean, and tidy. 3. Front‑of‑house oversight: coordinating daily/weekly administrative tasks (calls, post, scanning, uploads). 4. KPI & audit management: collaborating with Quality Management to track performance and conduct audits. 5. Team leadership: supervising and motivating front‑of‑house staff, ensuring productivity. 6. Data handling: collate, present, and interpret operational data. 7. Stakeholder liaison: liaise with internal managers and external NHS/CCG/commissioning contacts. 8. Business development: contribute to growth strategy and development initiatives. **Required Skills:** - Strong customer‑service orientation. - Excellent verbal and written communication. - Detail‑oriented with ability to see the big picture. - Leadership and team‑motivation capability. - Proficiency in data presentation and interpretation. - Familiarity with NHS structure (desirable). - Knowledge of NICE and CQC regulatory framework (desirable). - Ability to handle confidential information and clinical documents securely. - Confidence to raise concerns about KPI risks. **Required Education & Certifications:** - Minimum: A‑level or equivalent (no specific degree required). - Valid DBS check (enhanced). - Updated mandatory NHS/clinical administrative training certificates required. - Right to work in the UK.
