Job Title: Executive Assistant – Housing
Role Summary: Provide comprehensive administrative support to the Director of Housing and the senior leadership team, managing calendars, correspondence, meeting logistics, document preparation, and assisting with internal validation processes and city policy projects.
Expactations: Candidate must be proficient in Microsoft Office (Word, Excel, PowerPoint), understand departmental decision-making procedures, and possess strong organizational, communicative, and teamwork skills. Must be adaptable, responsive, and detail-oriented.
Key Responsibilities:
- Receive and manage telephone and in‑person inquiries from the public and partners.
- Maintain and schedule the Director’s agenda, including appointment reminders and coordination with other stakeholders.
- Sort, record, and distribute incoming mail and digital correspondence.
- Organize meetings: send invitations, prepare agendas and supporting documents, book facilities, and arrange logistics.
- Draft and format letters, notes, reports, dashboards, and slide decks.
- Support logistical operations of the department, ensuring smooth day‑to‑day functioning.
- Prepare and follow up on dossiers for internal validation and approval.
- Partially replace the administrative assistant for financial aid, handling related tasks.
- Assist in the administrative processing of projects related to city policy initiatives.
Required Skills:
- Advanced proficiency with Microsoft Office (Word, Excel, PowerPoint).
- Excellent written and verbal communication, with strong drafting and editing abilities.
- Document management, including filing, transcription, and message transmission.
- Meeting coordination, agenda preparation, and logistics planning.
- Strong organizational, multitasking, and time‑management capabilities.
- Team‑oriented mindset with flexibility and adaptability in dynamic settings.
Required Education & Certifications:
- High school diploma or equivalent; additional education in business administration, office management, or related field is an advantage.
- Prior experience as an executive or administrative assistant is preferred.
- Certification in office software or administrative management (e.g., Microsoft Office Specialist) is a plus.
