Job Description
**Job Title:** PMO – Operations **Role Summary:** Lead and coordinate month‑end operational activities to secure accurate client billing and monthly close. Drive quality, performance, and continuous‑improvement initiatives across project delivery and support (Run) services. Act as the primary liaison between operational teams, project managers, and Finance. **Expectations:** - Ensure timely capture and validation of timesheets, leave, and project expenses. - Maintain billing accuracy and support Finance in revenue tracking. - Oversee onboarding/off‑boarding processes and contract renewals. - Monitor and report on project and Run performance indicators (schedule, budget, risk, SLA). - Lead process‑improvement and change‑management efforts to enhance operational efficiency and service quality. **Key Responsibilities:** 1. **Month‑End Operations** - Coordinate team input for timesheets, leave declarations, and expense reporting. - Validate data for billing; act as main contact for Finance on time‑and‑expense reconciliation. - Prepare project closure analyses (remaining work, progress, status) for accounting and forecasting. - Produce month‑end operational reports for senior management. 2. **Quality & Performance Management** - Onboard new staff on operational procedures; manage hand‑over plans for departures. - Draft service contracts with Project Leads, CSMs, and Account Managers; support contract renewal discussions. - Track project KPIs (plan, budget, risk, quality) and Run KPIs (backlog, SLA) using Fitnet Manager, JIRA, etc. - Deliver performance reports and flag deviations to Operations leadership. 3. **Process & Knowledge Management** - Maintain and evolve internal process repository with Process Owners. - Update knowledge base and service documentation. - Conduct post‑mortems, audits, and root‑cause analyses; identify improvement actions. - Lead change‑management initiatives to roll out revised processes to production teams. **Required Skills:** - Strong PMO expertise managing a portfolio of digital‑transformation and support/TMA projects. - Proficient in time‑sheet, expense, and billing processes; solid understanding of financial close cycles. - Experience with performance‑monitoring tools (e.g., Fitnet Manager, JIRA, MS Project, Power BI). - Excellent stakeholder communication and negotiation abilities. - Analytical mindset with capability to produce actionable reports and drive continuous improvement. - Leadership and change‑management skills; ability to train and influence cross‑functional teams. - Fluency in English; French language proficiency advantageous. **Required Education & Certifications:** - Master’s degree (Bac+5) in Engineering, Business Administration, or related field. - Minimum 5 years of PMO experience in digital‑transformation or IT service delivery environments. - Preferred certifications: PMP, PRINCE2, ITIL, or equivalent (not mandatory).
