Job title: Legal Secretary – Finance & Capital Markets Role Summary: Provide comprehensive administrative support to attorneys in the Finance and Capital Markets group. Manage time‑keeping, billing, client onboarding, document handling, calendar coordination, and confidential information while ensuring compliance with firm standards and client requirements. Expactations: - Meet firm and client deadlines for time entries, invoices and conflict checks. - Maintain accurate, timely billing records and work‑item inventories. - Coordinate travel, expense reimbursements and general office logistics. - Operate ServiceNow ticketing system and related technology tools. - Uphold strict confidentiality for all client and firm data. Key Responsibilities: - Review attorneys’ time sheets, adjust entries proactively, and flag non‑compliance. - Draft, modify, and issue client invoices in line with Outside Counsel Guidelines, collaborating with attorneys on invoice inventory. - Collect and adhere to attorneys’ preferences for tasks such as expense processing, calendar scheduling, document management, and travel arrangements. - Conduct client onboarding tasks, including conflict checks and new file openings. - Manage electronic and physical documents, ensuring accuracy and ease of retrieval. - Support global team activities and respond to requests from attorneys worldwide. Required Skills: - Bilingual fluency in French and English (written and spoken). - Strong written and verbal communication; effective interaction with attorneys, clients, vendors, and staff. - Initiative to work independently and collaboratively, with a focus on client service. - Ability to handle multiple concurrent tasks and adapt quickly to evolving technology. - Intermediate–advanced proficiency in Microsoft Excel and Outlook; advanced in Microsoft Word. - Familiarity with ServiceNow and other real‑time ticketing systems.
