Job Description
Job title: Document Controller Role Summary: Responsible for maintaining, controlling, and distributing project documentation to ensure accuracy, traceability, and compliance across all projects. Supports senior controls functions, promotes best practices, and facilitates effective document flow. Expectations: Must secure and maintain relevant Defence security clearance; adhere to high standards of quality and consistency; demonstrate strong communication, prioritisation, and organisational skills; contribute proactively to project efficiency and audit readiness. Key Responsibilities: - Maintain revision control for digital and physical documents, including work instructions, process documents, and standard forms. - Process incoming and outgoing documents: registration, internal distribution, and external handover. - Ensure latest approved documents, drawings, and related materials are controlled and distributed to stakeholders. - Coordinate and maintain project registers, reports, and the Master Document Register. - Liaise with project teams to support efficient document flow, including handover and close‑out. - Produce overdue and compliance reports for internal teams, clients, and suppliers. - Assist in creating and updating registry controls under guidance of Senior Document Controller. - Perform additional duties assigned by Head of PMO or Senior Document Controller. Required Skills: - Advanced proficiency in MS Office suite (Word, Excel, Outlook). - Experience with PLM or document control systems (advantageous). - Strong attention to detail, analytical thinking, and data validation skills. - Excellent communication and stakeholder management. - Ability to prioritise tasks, manage time, and meet deadlines. - Methodical, thorough, highly organised, and committed to process integrity. Required Education & Certifications: - Minimum secondary education or equivalent; higher education or professional certification in document control, information management, or related field preferred. - Must hold or be able to obtain Defence security clearance.
