Job Description
Job Title: Facilities Project Coordinator Role Summary: Provide day‑to‑day coordination for renovation and improvement projects across a U.S. portfolio, ensuring timely execution, documentation, and minimal business disruption. Expectations: - Support multiple active projects simultaneously. - Work closely with project managers, property managers, vendors, and internal teams. - Maintain accurate project records and communicate status to stakeholders. Key Responsibilities: - Attend site visits, walk‑throughs, and punch lists; observe and record field conditions. - Track project milestones, outstanding items, and action items (RFIs, submittals, approvals). - Manage project logs, trackers, drawings, photos, schedules, invoices, and warranties. - Review contractor invoices and confirm completion of work. - Coordinate site access, inspections, meetings, and contractor visits. - Liaise with building operations to minimize tenant impact and ensure safety compliance. - Prepare status reports, dashboards, and management summaries. - Participate in budget tracking, flag cost overruns, and assist with vendor quotes.
