Job Description
Job Title: Tenant Data Officer Role Summary: Collect, verify, and maintain up-to-date tenancy information for all households in accordance with housing legislation and data protection standards. Deliver accurate data to support tenancy management decisions and provide frontline support to tenants, ensuring service quality and compliance. Expectations: - Proactive, detail‑oriented, and able to manage competing priorities. - Strong communication and interpersonal skills to engage tenants and partner agencies. - Commitment to confidentiality, data protection, and safeguarding protocols. Key Responsibilities: - Conduct telephone and, when required, home‑visit tenancy update interviews to capture personal circumstances, protected characteristics, and household composition. - Update the QL system accurately with new data, ensuring completeness for reporting and analysis. - Administer transactional surveys and other data collection instruments as directed. - Respond to tenant service requests, triage issues, and refer to appropriate teams. - Identify and report incidents of potential neglect or domestic abuse; update systems such as My Concern and notify the safeguarding lead. - Liaise with Tenancy Management Officers on cases requiring ongoing attention. - Participate in regular performance reviews and contribute to continuous improvement initiatives. Required Skills: - Excellent verbal and written communication. - Data entry and database management proficiency (QL or equivalent). - Knowledge of GDPR and data protection best practices. - Ability to conduct sensitive conversations with empathy and professionalism. - Time‑management skills to balance outreach, system updates, and administrative tasks. Required Education & Certifications: - Minimum secondary education; higher education or a relevant qualification in data management, social work, or a related field preferred. - No specific certifications required, but knowledge of safeguarding and housing regulations is advantageous.
