**Job Title:** Administrative Assistant **Role Summary** Provide comprehensive administrative support to senior management, departments, and teams. Coordinate calendars, meetings, travel, and project tasks. Maintain organizational efficiency through process optimization, vendor management, and office systems oversight. **Expectations** Self-directed individual with exceptional organizational skills to manage high-volume administrative demands. Requires flexibility to balance multiple priorities, adapt to evolving workflows, and meet deadlines in a fast-paced environment. **Key Responsibilities** - Support senior management with calendaring, correspondence, and meeting coordination. - Manage executive appointments, conference calls, and travel logistics. - Track expenses, reconcile reports, and process invoices. - Maintain staffing reports, organization charts, and hiring forecasts. - Oversee procurement, office technology, and vendor agreements. - Organize boardrooms, AV equipment, and meeting logistics. - Streamline operations via automation and process improvements. - Train/mentor administrative staff as needed. - Ensure compliance with governance, ethics, and regulatory standards. **Required Skills** - Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint). - Expertise in calendaring, expense tracking, and travel systems. - Strong written/verbal communication for stakeholder interactions. - Time management, multitasking, and problem-solving capabilities. - Client-service focus with professionalism in internal/external engagements. **Required Education & Certifications** Bachelor’s degree in Business Administration or equivalent administrative experience.
