Job Description
**Job Title** Receptionist / Administrative Assistant **Role Summary** Provide front‑desk and administrative support to a security operations team. Act as the first point of contact for employees and visitors, manage call routing, visitor log, security access, mail, couriers, office supplies, uniform inventory, and general office upkeep while ensuring efficient day‑to‑day operations. **Expectations** - Monday‑Friday, 08:00‑16:00 (occasional weekend support). - Maintain a professional, welcoming environment. - Able to lift up to 50 lbs and move heavy items (uniforms, mail). - Adapt quickly to a fast‑paced, multi‑tasking work setting. **Key Responsibilities** - Greet visitors, verify identification, issue visitor passes, and log entries. - Answer and route incoming calls; take and deliver messages. - Enforce security protocols: screen visitors, maintain visitor logbook. - Manage internal telephone directory, ensure accuracy. - Sort, distribute, and track mail and courier packages. - Maintain and update employee files, documentation, and distribution lists. - Order, track, and control office stationery and supplies. - Assist with document preparation, photocopying, and file maintenance for field staff. - Manage uniform inventory: ordering, tracking, sorting, and database entry for security personnel. - Keep reception area clean, organized, and presentable. - Perform additional administrative tasks as directed by branch management. **Required Skills** - Strong interpersonal and communication skills (verbal & written). - Proficiency with Microsoft Office (Word, Excel, Outlook). - Tech‑savvy: ability to process emails, manage phone systems, and use office software. - Excellent time‑management, problem‑resolution, and multi‑tasking abilities. - Professional appearance and deportment. **Required Education & Certifications** - High school diploma or equivalent. - No specific certifications required; relevant office‑administration or customer‑service training is a plus.
