Job Description
**Job Title:** Accounts Payable Specialist **Role Summary:** An experienced AP specialist will manage end‑to‑end accounts payable processes for a high‑volume transportation and logistics organization. Duties include invoice processing, three‑way matching, payment execution, reconciliation, month‑end close support, and vendor‑master maintenance, ensuring accuracy, HST/GST compliance, and timely vendor payments. **Expectations:** - 3–5 years of full‑cycle AP experience, preferably in transportation, logistics or similar high‑volume environments. - Ability to work independently on a fast‑paced, onsite logistics office. - Strong analytical and data‑reconciliation skills with meticulous attention to detail. - Effective communication with vendors, carriers, procurement, and operations to resolve discrepancies. **Key Responsibilities:** - Process carrier, owner‑operator, fuel surcharge, equipment, maintenance, and general vendor invoices. - Perform 3‑way matching (PO, receipt, invoice) and resolve discrepancies. - Execute bi‑weekly EFT and cheque payment runs; maintain payment accuracy and timeliness. - Reconcile fuel card statements and freight billing against mileage/load data. - Code and enter invoices with appropriate GL and cost‑centre allocations. - Prepare AP accruals, aging reports, and variance analysis for month‑end close. - Maintain vendor master data (banking details, insurance certificates, contacts). - Process employee expense reports and corporate credit‑card reconciliations. - Ensure HST/GST compliance on all vendor invoices; flag non‑compliant documentation. - Support year‑end audit preparation (sub‑ledger to GL reconciliation, documentation requests). **Required Skills:** - Proficient in Microsoft Dynamics Great Plains (GP) or equivalent ERP. - Advanced Microsoft Excel (pivot tables, VLOOKUP, data reconciliation). - Strong analytical, organizational, and time‑management skills. - Excellent written and verbal communication. **Required Education & Certifications:** - Post‑secondary education in Accounting, Business Administration, or related field (college diploma or university degree). - Valid Canada‑wide Federal Commercial Operation Permit (CSP) or equivalent not required; no specific certification mandatory, but familiarity with CRA compliance is advantageous.
