**Job Title:** Executive Assistant
**Role Summary:**
Provide high‑level administrative and strategic support to the CEO, COO, and Director of Business Operations. Manage complex calendars, coordinate domestic and international travel, process expenses, field communications, draft executive correspondence, and oversee special projects and events to enable leaders to focus on strategic priorities.
**Expectations:**
- Highly proactive and organized, with excellent discretion and attention to detail.
- Anticipate executive needs, manage competing demands, and set clear boundaries with senior stakeholders.
- Maintain flawless confidentiality and professional communication at all times.
**Key Responsibilities:**
- Maintain intricate calendars across multiple time zones; prioritize and prepare for internal and external meetings.
- Coordinate and book extensive domestic and international travel, including itineraries, flights, accommodation, and ground transport.
- Process and submit timely expense reports.
- Field and triage phone, email, and mail communications; act as a discreet liaison.
- Draft, proofread, and edit external correspondence, presentations, and reports.
- Compile, print, distribute board packets, presentation decks, and reports; prepare agenda and materials for meetings.
- Attend key executive meetings, capture action items, and follow‑up to ensure completion.
- Lead or assist with special projects and initiatives; meet deadlines and deliver high‑quality outcomes.
- Develop and implement administrative systems to improve efficiency for executive offices and leadership.
- Coordinate internal and external events, off‑sites, and company functions; manage venue booking and vendor relations.
- Collaborate with cross‑functional teams and the Workplace team on special projects.
- Undertake occasional travel as required.
**Required Skills:**
- Minimum 5 years of executive assistant experience supporting C‑level executives in fast‑paced tech or media environments.
- Superior organizational and time‑management abilities.
- Advanced proficiency in Google Workspace, Microsoft Office (Word, Excel, PowerPoint, Outlook), and video‑conferencing tools.
- Strong written and verbal communication; professional interaction with all staff levels, clients, partners, and Board members.
- Experience managing cross‑functional leaders across multiple time zones.
- Discretion, confidentiality, proactive problem‑solving, and project‑management skills.
- Familiarity with emerging AI solutions for efficiency enhancement is a plus.
**Required Education & Certifications:**
- Preferred: Certification in Executive Support, Office Administration, or related field.
- No mandatory degree specified; experience is the primary qualification.
