Job Description
Job title: Executive Assistant Role Summary: Support senior executives with investor engagement, board and executive meetings, and executive operations. Coordinate calendar, logistics, communications, and CRM data across multiple time zones, ensuring seamless execution of high‑stakes external initiatives. Expectations: - Deliver high‑quality, professional support to executives and external stakeholders. - Manage fast‑paced, dynamic schedule and respond to last‑minute changes. - Anticipate needs, resolve conflicts, and maintain confidentiality. - Evolve role responsibilities, taking on additional projects and process improvements. Key Responsibilities: - Schedule and coordinate investor, board, and executive meetings worldwide. - Manage executive calendars, resolve conflicts, and handle rapid changes. - Prepare meeting rooms/virtual setups: agendas, materials, attendee readiness. - Maintain accurate investor, advisor, and partner contact lists. - Support outbound investor outreach: data organization, drafting/proofreading communications, tracking responses. - Draft, edit, and proofread executive‑level written communications. - Track meeting outcomes, action items, follow‑ups, and next steps. - Record activities in CRM or similar systems. - Assist with fundraising and executive operations projects. - Optimize workflow, templates, and documentation. - Proactively address executive needs and emerging issues. Required Skills: - 3+ years executive support, operations, or admin roles supporting senior leaders. - Experience with externally facing initiatives or strategic programs preferred. - Strong written and verbal communication in professional tone. - Polished, professional demeanor in executive/external settings. - High attention to detail, judgment on confidentiality. - Proficiency with CRM platforms (Salesforce, HubSpot, Affinity, etc.). - Advanced spreadsheet use and standard office productivity tools. - Quick learner, comfortable with new tools and evolving processes. - Highly organized, reliable, proactive, with strong follow‑through. - Ability to manage ambiguity, prioritize competing demands. - Willingness to grow role and take on expanded responsibilities. Required Education & Certifications: - Bachelor’s degree or equivalent work experience. - No specific certifications required, though familiarity with CRM systems and document collaboration tools is essential.
