Job Title: Executive Assistant (EA)
Role Summary:
Provide high‑priority support to CEO, COO, and CMO, with intermittent assistance to CPO, CTO, and CFO. Manage calendars, travel, meeting logistics, expense reporting, and executive communications. Build and maintain systems that streamline executive operations and drive alignment across the leadership team.
Expectations:
- Build trusted relationships with all six executives within 90 days.
- Own full ownership of calendar, travel, and meeting management from day one.
- Deliver consistent planning support for offsites, quarterly reviews, and board prep.
- Proactively implement tools, templates, and workflows that improve efficiency and transparency.
- Maintain discretion, reliability, and professionalism while handling shifting priorities.
Key Responsibilities:
- Calendar and travel management for CEO, COO, CMO, and occasional support for CPO, CTO, CFO.
- Prepare agendas, briefing notes, and meeting follow‑up documentation.
- Execute expense reporting and reimbursements for all six executives.
- Coordinate logistics for executive offsites, quarterly planning, and board meetings.
- Create and maintain systems, templates, and processes for executive operations.
- Act as trusted liaison, anticipating needs and flagging capacity or priority changes.
- Support culture initiatives by establishing routines and rhythms that promote clarity and alignment.
Required Skills:
- Proven experience (5+ years) in executive assistance or senior support roles.
- Expertise in complex calendar management, travel coordination, and logistics.
- Strong written and verbal communication; drafting professional communications.
- Highly organized, detail‑oriented, and adept at multitasking.
- Digital literacy: proficiency with calendar, travel, expense, and collaboration tools.
- Ability to build relationships, exercise discretion, and navigate fast‑paced environments.
Required Education & Certifications:
- Bachelor’s degree or equivalent work experience preferred.
- Any relevant certifications in Executive Support, Office Administration, or Project Coordination are an advantage.
