Job Description
**Job Title:** Facilities Project Manager **Role Summary:** Oversee and manage all maintenance, repair, and capital projects for food service and refrigeration equipment across retail sites. Coordinate vendor and contractor activities, develop and maintain preventive maintenance schedules, track warranties, and control project budgets. Provide 24/7 on‑call support for reactive and preventive service requests, ensuring compliance with safety regulations and operational efficiency. **Expectations:** - Act as the primary point of contact for all food service equipment maintenance. - Maintain proactive communication with operations, food service, and procurement teams. - Deliver projects on time, within scope and budget. - Ensure all vendors and contractors comply with OSHA and regulatory standards. - Operate on a 24/7 on‑call rotation for reactive maintenance. **Key Responsibilities:** - Prepare and update detailed maintenance reports for store operations. - Build and sustain relationships with contractors and vendors. - Create, monitor, and report on project budgets, schedules, and performance metrics. - Design and implement comprehensive preventive maintenance plans for food equipment, ice machines, and refrigeration units. - Track warranties and manage new equipment acquisitions via VIXXO and other systems. - Dispatch and follow up on reactive service requests, setting priority levels and ETA. - Coordinate temporary equipment sourcing during repair delays. - Source quotes and present approval packages for end‑of‑life replacements. - Manage small electrical and plumbing projects supporting food service equipment. - Support logistics for equipment relocation and storage. - Build and document projects in Oracle and DocuSign, ensuring proper capitalization and accounting. - Facilitate food safety inspections and service requests in the field. - Engage with vendors outside standard portals to reduce delays and costs. - Provide coaching to Operations and Food Service teams on maintenance best practices. **Required Skills:** - Project management and scheduling. - Vendor and contract negotiation. - Budgeting and financial oversight. - Knowledge of food service equipment (refrigeration, ice machines, displays). - Proficiency in maintenance management systems (VIXXO, Service Channel, FreeFlow). - Strong written and verbal communication. - Time management and multitasking. - Regulatory compliance (OSHA, safety standards). - Problem‑solving and decision‑making. - Ability to work under pressure and 24/7 on‑call. **Required Education & Certifications:** - Bachelor’s degree in Facilities Management, Engineering, Hospitality Management, or related field. - Professional certifications preferred: PMP, Certified Facilities Manager (CFM), or equivalent. - OSHA safety certification or equivalent is desirable.
