Job title: Executive Assistant / Project Administrator
Role Summary:
Provide high‑level administrative and project coordination support to senior leadership, ensuring efficient calendar management, travel coordination, event planning, and documentation. Drive project execution, maintain records, and facilitate communication across teams.
Expectations:
* Manage executive calendars, appointments, and priorities, balancing multiple tasks with minimal supervision.
* Coordinate travel, meetings, and onsite events, ensuring all logistics support executive needs.
* Act as primary liaison for incoming communications, summarizing and routing messages accurately.
* Maintain comprehensive project documentation, track risk metrics, and propose action plans to keep initiatives on schedule.
* Uphold confidentiality, professionalism, and proactive problem‑solving in a fast‑paced environment.
Key Responsibilities:
1. Executive Administration (70%)
- Schedule and prioritize high‑level meetings, call and event calendars.
- Draft correspondence, reports, invoicing, and presentation materials.
- Coordinate travel itineraries, accommodation, and transport logistics.
- Receive, triage, summarize, and distribute executive communications.
- Maintain filing systems, confidentiality logs, and deliver ad‑hoc executive tasks.
2. Project Coordination (30%)
- Gather, maintain and update project documentation, sign‑offs, and status reports.
- Track at‑risk metrics and facilitate corrective action plans.
- Update project schedules, milestones and distribute status to stakeholders.
Required Skills:
* 4‑6+ years as an Executive Assistant or equivalent.
* Strong organizational and time‑management skills; ability to meet tight deadlines.
* Excellent written and verbal communication; clear, concise messaging.
* Proficiency in Google Suite (Docs, Sheets, Slides, Calendar) and quick adoption of new software.
* Basic project management knowledge: scheduling, risk tracking, documentation.
* Ability to work independently, handle confidential information, and thrive under pressure.
* Interpersonal skills for collaboration with cross‑functional teams.
Required Education & Certifications:
* Associate’s degree in Business or related field; Bachelor’s degree preferred.
* Demonstrated project management experience or certification (e.g., PMP, CAPM) is a plus.
