**Job Title:**
Events Manager (12‑month Fixed‑Term Contract)
**Role Summary:**
Manage the planning, execution, and post‑event follow‑up for a portfolio of virtual and face‑to‑face scientific meetings across dermatology, oncology, and hepatology. Serve as the primary point of contact for Key Opinion Leaders (KOLs), internal project teams, and external vendors to ensure events are delivered on time, within budget, and to a high professional standard.
**Expectations:**
- Deliver 4–6 events per year (including 2–4 international meetings).
- Maintain accurate scheduling, logistics, and documentation for faculty and attendees.
- Ensure compliance with contractual, budgetary, and regulatory requirements.
- Provide timely support to medical writers, project directors, and other internal stakeholders.
**Key Responsibilities:**
- **Faculty Management:** Schedule KOLs, prepare and issue agreements, coordinate travel/itinerary, handle honoraria and expense reimbursements, and maintain ongoing communications.
- **Team Coordination:** Arrange logistics for project teams (flights, visas, accommodation, meals), attend weekly internal meetings, and support project directors.
- **Subscriber & Communication Management:** Produce briefing booklets, attendee communications, and post‑event materials.
- **Venue & Supplier Management:** Source and contract venues (≈4‑5 annually), oversee room set‑ups, catering, AV, invoicing, and on‑site logistics.
- **AV & Transportation:** Procure and manage audio‑visual equipment and transportation services, including airport transfers.
- **Registration & Compliance:** Administer congress registrations and ensure adherence to industry guidelines and internal policies.
- **Budget & Financial Tracking:** Monitor event budgets, process invoices, and reconcile expenses.
**Required Skills:**
- Proven end‑to‑end event planning experience (3‑5 + years), preferably in healthcare, pharma, or scientific conferences.
- Strong stakeholder and vendor management abilities.
- Excellent written and verbal communication; adept at drafting invitations, itineraries, and briefing materials.
- Proficiency with event management software, MS Office (Excel, PowerPoint), and AV coordination.
- Detail‑oriented with strong organizational and multitasking capabilities.
- Ability to work independently and collaboratively in a fast‑paced, global team.
- Willingness to travel internationally (2–4 meetings per year).
**Required Education & Certifications:**
- Bachelor’s degree in Event Management, Business Administration, Communications, Healthcare Administration, or related field.
- Preferred: Event Management Professional (CMP), Project Management Professional (PMP), or equivalent certification.
- Eligibility to work in the United Kingdom (or applicable jurisdiction).
