Job Description
**Job Title:** Accounting Assistant – Accounts Payable **Role Summary:** Support the Finance team by ensuring accurate, compliant processing of all accounts payable transactions, including vendor invoices, employee expense reports, and corporate credit card reconciliations. Maintain internal controls, conduct reconciliations, and assist with month‑end close and audit activities. **Expectations:** • Deliver error‑free AP processing within established timelines. • Adhere to all internal policies, external guidelines (e.g., CRA sales tax, CBAs), and contract terms. • Communicate effectively with vendors and internal stakeholders to resolve discrepancies. • Contribute to continuous improvement of AP processes and controls. **Key Responsibilities:** 1. Receive, validate, and enter vendor invoices into the invoicing system, ensuring proper PO linkage, GL account coding, cost center, and project codes. 2. Verify invoices and expense reports against Performance Agreements, BPSA, CBAs, and company policies, including accurate sales tax coding per CRA standards. 3. Process employee expense reports and corporate credit card transactions in SAP Concur, confirming receipt completeness and correct expense coding. 4. Investigate and resolve invoice or expense discrepancies by coordinating with vendors and internal business units; document findings and actions. 5. Manage PO-related issues (low funds, amendments, missing PO) and report non‑compliance to the AP Manager. 6. Assist financial analysts with manual postings and miscellaneous accounting items. 7. Conduct weekly EFT and wire payment runs, maintaining payment proposal documentation. 8. Perform quarterly major vendor reconciliations and monthly AP and GL sub‑ledger reconciliations. 9. Support external audits and prepare ad‑hoc reports as directed. **Required Skills:** • Attention to detail and strong analytical abilities. • Proficiency in AP functions and knowledge of internal controls. • Experience with enterprise accounting systems (SAP preferred; Oracle acceptable). • Skilled in SAP Concur or equivalent expense management tools. • Effective written and verbal communication. • Problem‑solving mindset and ability to work collaboratively in a fast‑paced environment. **Required Education & Certifications:** • College diploma or bachelor’s degree in Business Administration, Accounting, or related field. • Minimum of 1–2 years of progressive experience in AP, expense reporting, and credit card reconciliation. • Preferred: Experience working with union contracts, BPSA processes, and high‑volume AP environments. ---
