Job Title: Office Assistant Role Summary: Provide comprehensive administrative support to the CEO and executive team, manage all inbound and outbound communications, and maintain office operations to ensure a smooth, efficient working environment. Expactations: - Consistent, professional phone etiquette and timely response to all calls. - Independent, accurate handling of clerical tasks with strong attention to detail. - Effective coordination of office equipment and supplies, ensuring readiness for daily use. - Ability to prioritize tasks, manage time efficiently, and maintain high organizational standards. Key Responsibilities: - Receive and screen phone calls, take messages, and route communications to appropriate staff. - Draft, proofread, and distribute internal and external correspondence. - Prepare and manage calendars, meetings, and travel arrangements for the CEO. - Maintain office equipment, liaise with service providers for repairs and upkeep. - Order and inventory office supplies, track usage and reorder as needed. - Coordinate office logistics for meetings, events, and client visits. - File and archive documents, ensuring confidentiality and compliance with data protection standards. - Support ad‑hoc projects and administrative tasks as directed by senior management. Required Skills: - Strong verbal and written communication; excellent phone etiquette. - Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). - Familiarity with office equipment (printers, copiers, scanners, fax machines). - Excellent organizational and time‑management skills. - Ability to work independently and collaborate with team members. - Attention to detail and commitment to accuracy. Required Education & Certifications: - Minimum high school diploma or equivalent. - Relevant certifications in office administration or Microsoft Office Specialist (MOS) preferred.
