Job Description
**Job Title:** Executive Assistant (Maternity Cover) **Role Summary:** Provide high‑level executive support and operational coordination for senior leaders (Head of HR, Business Services, Operations, Real Estate) within a professional services firm. Responsibilities include diary and travel management, meeting facilitation, document preparation, event organization, and coordination of PA team resources. **Expectations:** - Deliver seamless administrative assistance to C‑suite executives. - Maintain confidentiality and professionalism at all times. - Ensure accurate scheduling, travel arrangements, and meeting outcomes. - Support cross‑departmental communication and departmental projects. - Coordinate PA team activities, including coverage, performance reviews, and onboarding. **Key Responsibilities:** - Manage complex calendars for multiple senior executives. - Book and coordinate global travel itineraries. - Organise meetings, prepare agendas, take minutes, and circulate action items. - Plan and execute internal and external events. - Produce correspondence, presentations, reports, and briefing documents. - Liaise with other departments to facilitate information flow. - Assist with departmental projects as required. - Coordinate PA resources: track absences, arrange cover, conduct performance reviews, lead recruitment induction and training processes. **Required Skills:** - Advanced diary and travel management. - Strong written and verbal communication. - Minute‑taking and document drafting proficiency. - Event planning and logistical coordination. - Project support and multitasking ability. - Proficiency with MS Office (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms. - Team coordination and resource management. - High level of discretion and confidentiality. **Required Education & Certifications:** - Minimum: Bachelor’s degree or equivalent work experience. - Proven experience as a PA/EA supporting C‑suite or Head of Department level in professional services (preferably legal). - Relevant office administration or project coordination certifications are a plus but not mandatory.
