Job Description
Job title: Matter Services Assistant Role Summary: Provide critical administrative support to the legal real‑estate team by ensuring accurate file management, diligent deadline tracking, and efficient handling of trust‑account processes. Act as the operational backbone that keeps real‑estate transactions running smoothly, while maintaining clear communication with team members and external stakeholders. Expectations: - Highly organized, detail‑oriented, and able to manage multiple priorities simultaneously. - Calm under pressure and proactive in identifying and correcting errors before they become issues. - Strong verbal and written communication skills. - Ability to travel locally by personal vehicle for bank visits, courier coordination, and last‑minute deliveries. Key Responsibilities: - Maintain and update case files, ensuring all documents, notes, and deadlines are accurate and accessible. - Verify key data points in legal documents and files to guarantee consistency and compliance. - Manage trust‑account activities: receipting and disbursing funds, reconciling transactions, and preparing financial statements. - Coordinate courier and bank deliveries, ensuring timely and secure transfer of documents and funds. - Prioritize tasks, set realistic deadlines, and adjust workload in response to shifting priorities. - Identify process bottlenecks, propose improvements, and resolve operational issues promptly. - Collaborate with attorneys, paralegals, and external parties to ensure seamless transaction flow. Required Skills: - Excellent organizational and time‑management abilities. - Acute attention to detail and a methodical approach to data verification. - Multitasking capability in a fast‑paced environment. - Clear, courteous communication over the phone and in written correspondence. - Basic accounting or trust‑account familiarity. - Problem‑solving and decision‑making under tight deadlines. - Reliable vehicle and valid driving licence. Required Education & Certifications: - High school diploma or equivalent (post‑secondary education preferred). - No legal background required; on‑the‑job training will be provided. - Previous experience in administration, hospitality, or real‑estate support is a plus but not mandatory.
