Job Description
Job Title: Live Events Coordinator Role Summary Provide end‑to‑end administrative and logistical support for live events, including travel coordination, vendor management, budget tracking, inventory control, and on‑site execution. Responsible for ensuring events run smoothly from planning to breakdown in a fast‑paced, dynamic environment. Expectations - Demonstrate initiative, goal‑orientation, and a strong willingness to learn. - Adapt quickly to changing priorities and unexpected challenges. - Communicate clearly with internal teams, vendors, and stakeholders. - Maintain physical readiness for long standing, lifting up to 40 lbs, and flexible scheduling including evenings and weekends. Key Responsibilities - Assist with department administration and event‑specific tasks. - Book and manage heavy travel arrangements for staff and talent. - Coordinate event logistics with venues, vendors, and partners. - Develop and maintain show books containing venue, travel, and on‑site resource details. - Produce digital and print collateral for events. - Manage invoices, credit card statements, and other budgetary items. - Research and secure vendors for security, staging, catering, and craft services. - Oversee inventory of supplies, shipping, and packaging of event materials. - Provide day‑of support: set‑up, guest check‑in, vendor coordination, and breakdown. - Keep calendars, reporting documents, and communication logs current and accurate. Required Skills - Strong written and verbal communication. - Advanced proficiency in Google Docs and Google Sheets. - Organizational ability to handle multiple concurrent tasks. - Attention to detail in budget management and invoicing. - Excellent time‑management and prioritization. - Ability to thrive under pressure and adapt to last‑minute changes.
