Job title: Executive Assistant Role Summary: Provide high‑level executive support to the Managing Director and Head of Finance & Operations, acting as the operational hub of the organization. Manage complex calendar coordination across multiple time zones, travel logistics, expense tracking, and office administration while handling recruitment, onboarding, and core HR functions. Expectations: Deliver proactive, anticipatory support for senior leadership, ensuring seamless day‑to‑day operations and enabling strategic focus. Maintain confidentiality, demonstrate self‑motivation, and exercise a strong sense of initiative. Key Responsibilities: - Serve as the primary liaison for the Managing Director and Head of Finance & Operations. - Manage complex calendars, schedule multi‑time‑zone meetings, and coordinate all travel arrangements and itineraries. - Oversee expense tracking, accounts payable, and financial reporting support. - Organise and maintain electronic and physical files, presentations, and correspondence for rapid retrieval. - Plan and execute office events, team socials, and welfare initiatives. - Lead recruitment activities: coordinate interviews, support candidate selection, and manage onboarding processes. - Administer day‑to‑day HR tasks: holiday requests, absence tracking, employee records, policy compliance, and induction planning. - Manage office supplies, equipment, and facilities, ensuring operational continuity. Required Skills: - Superior organisational and time‑management abilities with meticulous attention to detail. - Excellent verbal and written communication, appropriate to senior executive stakeholders. - Proficiency with Microsoft Office (Excel, PowerPoint, Outlook) and common office technology. - Comfortable using generative AI tools (e.g., ChatGPT) to streamline work processes. - Strong qualitative and quantitative problem‑solving, with a proactive, self‑motivated attitude. - Ability to work independently under remote management, anticipating executive needs. Required Education & Certifications: - Bachelor’s degree from a recognised university (preferred but not mandatory). - No specific certifications required; interest or experience in the chemicals sector is a plus.
