Job Description
**Job title:** Data Management Officer **Role Summary:** The Data Management Officer orchestrates the end‑to‑end apprenticeship intake and compliance process, acting as the primary contact for apprentices and employers. The role drives accurate data capture, timely document submission, and seamless integration with funding and certification systems, supporting the organization’s apprenticeship provision and consultancy services. **Expectations:** - Deliver high‑quality, compliant apprenticeship services against set service levels. - Maintain a “first‑time‑right” submission rate, reducing rework and compliance breaches. - Build strong, trust‑based relationships with learners and employers. - Meet all statutory deadlines, ensuring eligibility and funding requirements are satisfied. **Key Responsibilities:** - Guide prospective apprentices through personalized onboarding, handling application intake and eligibility checks. - Conduct enrolment calls with learners and employers, explaining apprenticeship journeys and expectations. - Provide Information, Advice and Guidance (IAG) to apprentices, addressing enquiries and supporting decision‑making. - Verify learner details (job descriptions, qualifications, ID, Right‑to‑Work evidence, availability) in partnership with the delivery team. - Ensure timely completion and electronic submission of all requisite documentation, including ILR submissions. - Maintain and update apprenticeship service & MIS platforms, reflecting changes in apprentice circumstances. - Coordinate learner registration for End‑Point Assessments and distribute certificates from awarding bodies. - Support the Data and Funding Manager in administrative duties and compliance reporting. **Required Skills:** - Deep understanding of apprenticeship provision, funding structures, and compliance standards. - Strong organisational aptitude, capable of juggling multiple tasks and deadlines. - Excellent communication skills for stakeholder engagement. - Proficiency with Microsoft 365, e‑portfolio and MIS platforms. - High attention to detail and accuracy in data handling. - Ability to work independently and collaboratively in a regulated environment. **Required Education & Certifications:** - Minimum of a bachelor’s degree (e.g., Business, Information Systems, Education, or related discipline). - Knowledge of apprenticeship compliance regulations (DfE funding rules, Right‑to‑Work checks) preferred. - Familiarity with ILR processes, Aptem, or similar systems is advantageous.
