Job Description
**Job Title:** Sales & Service Administrator **Role Summary:** Manage end‑to‑end customer contract administration, order processing, invoicing, and delivery coordination for the NEEME region (DACH, EE, Northern Europe, UK). Serve as the primary contact for customers and internal stakeholders, ensuring accurate contract terms, timely payments, and smooth license management. **Expectations:** - Maintain high accuracy in contract data, invoicing, and financial records. - Communicate professionally in English and Dutch; interact with senior management and multiple departments. - Prioritize tasks under tight deadlines, proactively managing risks and follow‑up. **Key Responsibilities:** - Validate, process, and invoice sales orders using Conga, Oracle ERP, and SAP. - Coordinate payments, bank guarantees, and follow‑up with headquarters and local accounting. - Act as first point of contact for customer inquiries, order confirmations, lead times, payments, and claims. - Coordinate shipping and delivery, including customs documentation, based on agreed Incoterms. - Process and invoice service contracts (new, renewals, auto‑renewals) for equipment, software, and subscriptions. - Monitor contract renewal status, execute terminations, amendments, and additional billing. - Collect purchase orders for service contract renewals with Customer Success and Sales. - Update contract database during sunset processes and report on contracts to headquarters. - Manage licenses and software upgrades (activation, delivery, renewal, extensions, rehosts, loan licenses, transfers). - Track expiring licenses, ensure payment and timely key delivery, and maintain customer installed base (CIB). - Interface with internal departments to support license delivery and renewal. **Required Skills:** - Excellent verbal and written communication in Dutch and English. - Strong organizational and detail orientation. - Ability to interact with senior management, customers, shipment, customs, sales, and finance teams. - Customer‑centric mindset with proven stakeholder management. - Self‑motivated, proactive, accountable, and able to prioritize under pressure. - Analytical, efficient thinker. - Proficiency in Microsoft Office, especially advanced Excel. - Experience with Oracle and SAP. - Familiarity with Salesforce and Conga is a plus. **Required Education & Certifications:** - Bachelor’s degree or equivalent in Business, Finance, Supply Chain, or related field (preferred). ---
