Job Description
Job Title: Administrative Assistant (Secretary) Role Summary: The Administrative Assistant manages all front‑office and secretarial functions within a multidisciplinary team providing care for adults with intellectual disabilities. The role involves telephone and physical reception, mail handling, document preparation, data entry, and coordination of administrative aspects of client dossiers. Expactations: Provide timely, accurate administrative support while maintaining confidentiality and discretion. Work independently and collaboratively to ensure smooth daily operations and respond promptly to urgent matters. Key Responsibilities: - Receive visitors and answer phone calls. - Distribute and respond to mail and internal communications. - Prepare and file client dossiers, including MDPH (Maison Départementale des Personnes Handicapées) tracking, transport arrangements, attendance records, and meal orders. - Draft correspondence, reports, and updates for clients and stakeholders. - Maintain and update files, internal databases, and information systems (e.g., AIRMES, OCTIME). - Coordinate daily administrative tasks and support the needs of the multidisciplinary team. - Ensure compliance with confidentiality and data protection regulations. Required Skills: - Proficiency in Office 365 and general office software. - Strong organizational and time‑management abilities. - Ability to work autonomously and handle urgent tasks. - Team‑oriented mindset and effective interpersonal communication. - Adaptability, rigor, and discretion in handling sensitive information. Required Education & Certifications: - Bachelor‑level diploma in Secretarial Studies or equivalent (Level 4). - Experience in a similar secretarial role and familiarity with the medico‑social sector is highly valued.
