Job Description
Job title: Executive Assistant to President and Strategy Director (Bilingual English) Role Summary: Provide high‑level administrative support to the President and Strategy Director, managing complex calendars, coordinating internal and external meetings, arranging domestic and international travel, handling confidential communications, and preparing concise briefing materials. Serve as a key liaison between executives, shareholders, and staff while ensuring smooth operation of the President/Strategy office. Expactations: - Minimum 8 years of senior executive‑assistant experience, preferably with a C‑suite or presidency in a multinational company. - Fluency in French (writing and speaking) and English; Spanish fluency considered an asset. - Demonstrated ability to maintain strict confidentiality and exercise discretion. - Strong command of Microsoft Office suite and published communication style. Key Responsibilities: - Manage dual, dynamic calendars, prioritising appointments, presentations, and meetings. - Organise logistics for all senior‑level meetings: invitations, venues, equipment, videoconferencing, and supporting materials. - Coordinate domestic and international travel arrangements, including transport, accommodations, and catering. - Draft, edit, and format briefing documents, minutes, and supporting materials from oral or written directives. - Translate documents between French and English; occasionally produce Spanish translations. - Serve as primary contact for shareholders, committee members, and external stakeholders regarding scheduling and information flow. - Handle inbound telephone calls, screening and relaying messages; manage incoming and outgoing correspondence. - Oversee office supplies procurement for the President/Strategy team. - Organise internal and external seminars and meetings, including event planning and execution. - Provide occasional personal administrative support for executives. Required Skills: - Advanced calendar and scheduling coordination. - Travel planning and logistics management. - Meeting and event coordination. - Excellent written and oral communication, with impeccable French orthography. - Bilingual fluency (French–English); Spanish proficiency is a plus. - Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook). - Strong organisational, prioritisation, and problem‑solving abilities. - High‑level confidentiality and professional presentation. Required Education & Certifications: - Bachelor’s degree in Business Administration, Management, or equivalent. - No mandatory certifications but professional‑development credentials in advanced executive support or project management are advantageous.
