Job Description
**Job Title:** Executive Assistant (English‑speaking) – Cultural Sector **Role Summary:** Provides high‑level administrative support to the President (≈30%) and Secretary General (≈70%) of a cultural organization. Ensures smooth operation of executive functions through calendar management, travel coordination, meeting preparation, stakeholder liaison, and event organization while maintaining confidentiality and service excellence. **Expectations:** - Maintain strict confidentiality and professional discretion. - Deliver exceptional service with a proactive, courteous attitude. - Prioritize tasks calmly and tactfully under pressure. - Communicate effectively in English with domestic and occasional international partners. - Demonstrate mastery of digital productivity tools. **Key Responsibilities:** - Manage dynamic agendas and schedule appointments for the President and Secretary General. - Coordinate travel arrangements and logistics for festivals, audiovisual events, and live performances. - Organize internal meetings (executive committee, manager sessions) and prepare necessary materials. - Serve as primary liaison with internal staff and external contacts (mainly France, occasional abroad). - Support monthly board meetings, including issuance of convocations and related documentation. - Arrange lunches, dinners, and small‑scale events for executives and partners. **Required Skills:** - Advanced written and spoken English; fluent French preferred. - Strong organizational and time‑management abilities. - Excellent interpersonal and stakeholder‑management skills. - High level of discretion and confidentiality. - Proficiency with digital office tools (e.g., MS Office, calendar platforms, collaboration software). - Ability to plan and execute events and travel logistics. **Required Education & Certifications:** - Bachelor’s degree or higher in Business Administration, Management, or a related field. - Proven experience as an Executive Assistant or in senior‑level administrative support, preferably within a cultural or media environment. - No specific certifications required, but relevant training in office administration or event planning is a plus.
