Job Description
Job Title B2B Sales Operations Coordinator (Order Management Specialist) Role Summary Coordinate and manage the full lifecycle of wholesale and B2B sales orders, ensuring accurate entry, timely tracking, and effective communication among customers, fulfillment partners, and internal stakeholders to deliver a seamless customer experience. Expectations - Deliver error‑free order processing for all B2B transactions. - Maintain real‑time visibility of inventory, backorders, and shipment status. - Provide proactive, clear communication to customers and internal teams. - Resolve order discrepancies promptly and drive continuous improvement. Key Responsibilities - Serve as primary point of contact for order entry, processing, and delivery. - Use NetSuite to manage customer accounts, sales orders, inventory transfers, and fulfillment via 3PL partners. - Monitor backorder reports, release inventory, and coordinate invoicing. - Communicate order confirmations, shipping updates, and resolution notices to customers. - Liaise with Sales, Fulfillment, Accounting, 3PLs, and carriers to resolve issues. - Maintain accurate records of orders, shipments, and communications. - Identify process gaps, propose solutions, and support continuous improvement initiatives. Required Skills - Minimum 3 years of B2B or wholesale operations experience. - Strong knowledge of order fulfillment, logistics, and inventory management. - Proficiency with an ERP/order management system (NetSuite preferred). - Advanced Excel/Google Sheets skills for reporting and data analysis. - Experience with vendor compliance portals (NuOrder, SPS Commerce, CommerceHub). - Experience tracking workflows in project/task management tools (e.g., Monday.com). - Understanding of basic accounting principles related to invoicing and revenue recognition. - Excellent written and verbal communication; stakeholder management. - Detail‑oriented problem‑solving and cross‑functional collaboration. Required Education & Certifications - Bachelor’s degree in Business, Logistics, Supply Chain, or related field preferred, or equivalent combination of education and experience. - No mandatory certifications required.
