Job Description
Job Title: Administrative Intern – HR Assistant Role Summary: Support the training administration team by managing learner dossiers, overseeing certification processes, coordinating logistics, and maintaining internal platforms. Assist in the creation and maintenance of client and trainer accounts, ensuring accurate data entry and timely updates. Expectations: - Highly organized with strong attention to detail. - Proficient with digital tools and platform management. - Ability to juggle multiple deadlines and maintain data integrity. - Collaborative mindset with effective interpersonal communication. Key Responsibilities: - Create, update, and archive learner and trainer records on designated platforms. - Track attendance, certifications, and compliance with procedures; submit certification files to relevant portals (OPCO, CPF, etc.). - Manage financing dossiers and keep funding information current. - Coordinate training logistics: send invitations, draft session calendars, and handle training agreements, including signature tracking. - Generate and manage e‑learning access for learners and trainers; create client profiles on internal systems. - Conduct post‑training quality assurance by distributing satisfaction surveys and following up with non‑responders. Required Skills: - Excellent organizational and time‑management abilities. - Strong computer literacy (MS Office, cloud storage, learning management systems). - Effective written and verbal communication skills. - Capacity to work independently while collaborating within a team. Required Education & Certifications: - Current enrollment or recent completion of a bachelor’s degree (or equivalent) in Business Administration, Human Resources, Education, or related field. - No specific certifications required, though familiarity with training or HRIS platforms is a plus.
