**Job Title:** Contract Administrator **Role Summary:** Provides comprehensive administrative and technical support for the creation, review, execution, and ongoing management of contracts and related documentation, ensuring compliance, accuracy, and timely processing across legal, finance, procurement, and operations functions. **Expectations:** - Demonstrates accountability and delivers high‑quality work with minimal supervision. - Adapts quickly to changing business needs and priorities. - Maintains meticulous attention to detail in contract and vendor documentation. - Upholds ethical standards and confidentiality of sensitive information. - Communicates clearly, both written and verbally, with internal teams and external partners. - Works collaboratively within cross‑functional teams to achieve objectives. - Performs effectively under pressure and meets deadlines. **Key Responsibilities:** - Facilitate new vendor onboarding with Procurement, handling document collection, review, and entry. - Maintain and update the Approved Vendor List in Salesforce. - Review and verify vendor Certificates of Insurance for compliance; manage renewals and policy changes. - Support Business Development in contract processing, coordinating with Risk Control and Compliance for required certificates. - Process signatures for contracts and related documents in physical and electronic formats. - Assist the Director of Legal Services with legal projects and administrative tasks. - Manage tax exemption certificates and customer direct‑pay certificates. - Organize and store contract files on local drives and cloud platforms. - Provide audit support and generate reports on contract status, performance, and compliance. - Coordinate contract negotiations, ensuring alignment among legal, finance, procurement, and operations. - Contribute to the development and implementation of standardized contract templates and processes. - Resolve contract‑related issues in collaboration with internal departments. **Required Skills:** - Strong knowledge of contract administration and vendor management processes. - Proficiency with Salesforce or similar CRM systems. - Experience with document management (physical and electronic) and e‑signature tools. - Ability to interpret and enforce insurance and compliance requirements. - Excellent written and verbal communication skills. - Strong organizational and time‑management abilities. - Analytical mindset for audit support and reporting. - Ability to maintain confidentiality and handle sensitive information. **Required Education & Certifications:** - Bachelor’s degree in Legal Studies, Business Administration, Supply Chain Management, or a related field. - Minimum 3 years of experience in contract administration, procurement, or supply chain management. - Successful completion of pre‑employment background check and drug screening.
