Job Description
**Job title**: Reception Supervisor **Role Summary**: Lead the front‑door operations of a high‑profile commercial building, ensuring a consistently warm, efficient service for visitors, tenants, and staff. Coordinate daily shift activities, manage staff scheduling, and serve as the primary liaison between building occupants, management, and external partners. **Expectations**: - Deliver outstanding customer service that aligns with the building’s brand reputation. - Maintain service level agreements and procedural compliance. - Facilitate effective communication among stakeholders, ensuring timely action on requests and events. **Key Responsibilities**: - Oversee reception staff, including shift handovers, walk‑through briefings, and daily briefing notes. - Create, approve, and distribute weekly staffing rosters via Personio. - Manage holiday, absence requests, ensuring adequate coverage. - Prepare and circulate daily operations reports covering events, VIP visitors, tenant activities, and operational issues. - Enforce reception standards, taking corrective action as needed. - Attend building management meetings, capture minutes, and follow up on agreed actions. - Coordinate building move‑ins in partnership with the landlord and BNP; collect tenant requests and secure approvals via the community manager. - Handle tenant feedback, report and escalate issues per SLA. - Support colleague onboarding/off‑boarding: access control, system access, uniform issuance, and liaise with the people team/Clockwise. - Assist with meeting room scheduling and event support for auditoriums and the Hotel Wielemans. - Ensure all communications are approved before discharge and commitments are upheld. **Required Skills**: - Excellent interpersonal and communication skills (English fluency mandatory, Dutch or French preferred). - Strong organisational and multitasking abilities. - Proficiency in Personio, Microsoft Office Suite, and basic reporting tools. - Experience managing staff schedules, shift handovers, and performance feedback. - Customer‑service orientation with a proactive problem‑solving mindset. - Ability to maintain confidentiality and handle sensitive information. **Required Education & Certifications**: - Minimum of a bachelor’s degree (or equivalent) in Business Administration, Hospitality, or a related field. - Previous supervisory or front‑office management experience preferred. - Certifications in customer service or office administration are advantageous but not mandatory.
