Job Description
**Job Title**: Delivery Operations Coordinator **Role Summary** Coordinate staffing, resource allocation, and project execution for multiple concurrent delivery projects within a fast‑paced legal‑tech environment. Ensure schedules, utilization, and status reports are accurate, support project lifecycle from intake to closeout, and maintain operational workflows and documentation. **Expectations** - Deliver accurate staffing plans and utilization metrics for senior leadership. - Proactively identify and resolve resource conflicts and scheduling issues. - Maintain clear, data‑driven communication with stakeholders, ensuring commitments are tracked and completed. - Support end‑to‑end project delivery while focusing on process consistency and incremental improvement. **Key Responsibilities** 1. **Staffing & Resource Management** - Allocate resources across simultaneous projects, balancing capacity and workload. - Publish weekly staffing schedules, utilization views, and capacity snapshots. - Log new projects, confirm scope and timelines, and route to appropriate delivery teams. - Coordinate with HR/recruiting on upcoming staffing needs. 2. **Program & Delivery Support** - Monitor project status and key delivery metrics; surface issues with data‑informed reports. - Maintain and refine SOPs, scheduling frameworks, and process documentation. - Partner with VP of Delivery and project leads to support on‑time delivery and objective alignment. 3. **Operational Coordination** - Own scheduling and logistics for delivery ceremonies (stand‑ups, planning, reviews). - Capture action items, owners, and due dates; follow up to completion. - Keep shared calendars, trackers, and documentation current. - Champion effective use of Microsoft 365 tools (Excel, Teams, SharePoint) and internal systems. 4. **Process & Tooling Improvement** - Contribute to visibility, dashboards, and reporting enhancements for delivery operations. - Support incremental improvements without leading enterprise‑wide PMO initiatives. **Required Skills** - 3–5 years in staffing coordination, delivery operations, or project coordination. - Proven ability to manage schedules, rosters, and project timelines across multiple projects. - Advanced Excel skills for reports, trackers, and dashboards. - Proficiency with Microsoft 365 (Teams, SharePoint) and comfort working with data. - Strong organization, attention to detail, and follow‑through. - Excellent communication and stakeholder‑management abilities. **Required Education & Certifications** - Bachelor’s degree (or equivalent work experience). - Preferred: Certifications in project management or agile (PMP, CSM, PRINCE2) – not mandatory. ---
