Job Description
Job Title: Administrative Assistant Role Summary: Provide clerical support to licensed immigration consultants, managing document preparation, billing, client communication, and compliance with immigration procedures. Expactations: Highly organized and detail‑oriented professional with a dependable work ethic, capable of managing multiple tasks, maintaining strict confidentiality, meeting deadlines, and adapting to changing priorities. Key Responsibilities: - Assist consultants and office staff with day‑to‑day administrative tasks. - Prepare, format, and process retainer agreements and standard documents via approved templates. - Generate invoices, record payments, issue receipts, and maintain billing records. - Draft, proofread, and format correspondence, forms, and client‑facing documents. - Collect, organize, and maintain client information and documentation for file management. - Support preparation and completion of immigration application forms under consulting direction. - Create, update, and manage online client accounts and government portal submissions. - Monitor procedural updates and ensure compliance with record‑retention and confidentiality requirements. - Respond to inquiries (phone, email, in‑person) and route matters to appropriate personnel. - Schedule and coordinate client appointments, consultations, and follow‑ups. - Maintain manual and electronic filing systems and prepare routine administrative reports. Required Skills: - Proficiency in Microsoft Office (Word, Excel, Outlook). - Strong written and verbal communication. - Typing speed of ≥ 50 words per minute. - High attention to detail and accuracy. - Ability to manage changing priorities and meet deadlines. - Professional, dependable, and discreet handling of confidential information. - Capability to work independently and collaboratively. Required Education & Certifications: - Completion of secondary school. - Post‑secondary education in office administration or a related field is an asset (no mandatory certification).
