Job Description
**Job Title:** Sales Administration Assistant **Role Summary:** Provide high‑level administrative support to Group directors, managing commercial proposals, sales reporting, meeting documentation, order entry, and RFP processes. Coordinate communications, maintain databases, and perform general office tasks to enable seamless commercial operations across multiple companies. **Expectations:** - Rapid adaptation to varied tasks throughout the week. - Self‑directed execution within the authority of senior management. - Accurate, timely data handling and confidentiality. - Continuous learning of new sales‑management software. - Collaboration with cross‑functional teams and external clients. - Maintaining a professional telephone presence. **Key Responsibilities:** - Assist directors with commercial offer development and implementation. - Compile, format, and distribute sales activity statistics. - Draft agendas and minutes for business meetings. - Participate in commercial meetings and contribute relevant input. - Prepare dossiers for sales monitoring and follow‑up. - Handle standard company telephone line and external inquiries. - Enter client orders into the system and track order status. - Monitor RFP alerts, update response schedules, and record RFP documents. - Substitute for assistant‑to‑director duties during absences. - Perform miscellaneous tasks (email, mail, photocopying, scanning). **Required Skills:** - Proficient in Microsoft Excel (basic and intermediate functions). - Strong organizational and time‑management abilities. - Team‑player with effective interpersonal and client‑facing skills. - Excellent telephone etiquette and written communication. - Versatility to switch between task types with minimal supervision. - Quick learner of new management software. - Ability to work autonomously under managerial direction. **Required Education & Certifications:** - Minimum secondary education (high school diploma) or equivalent. - Prior experience in sales administration or general office support preferred. - Familiarity with sales‑tracking or ERP systems is an asset.
