Job Description
**Job Title** Agency Assistant (F/M) **Role Summary** Provide comprehensive administrative support to the agency manager, ensuring smooth daily operations, client satisfaction, and effective handling of staff resources. Manage scheduling, invoicing, client interaction, HR processes and contribute to commercial activities. **Expactations** - Proactive, organized, and reliable in a fast‑paced environment. - Demonstrated empathy and professionalism when dealing with clients and staff. - Ability to handle urgencies and unforeseen events calmly. - Commitment to continuous improvement of agency processes. **Key Responsibilities** - Create and adjust staff schedules, record hours worked, and settle invoicing. - Greet clients both in person and by phone, manage relationships with health insurers and address complaints. - Recruit new staff; prepare DPAE (Employment Declaration), employment contracts, amendments, and monitor leave and absences. - Generate payroll variables for staff. - Support commercial operations: manage quotation requests and client visits. - Maintain accurate records and ensure compliance with labor regulations. **Required Skills** - Strong organizational and multi‑tasking abilities. - Excellent written and verbal communication in French and English. - Proficiency with office software (Word, Excel, Outlook). - Knowledge of payroll and HR procedures in a social‑care context. - Customer‑service orientation and conflict‑resolution skills. **Required Education & Certifications** - Minimum bachelor’s degree in Business Administration, Human Resources, Social Services, or related field. - Certifications in HR or payroll (e.g., Certified HR Manager, Payroll Professional) preferred. - Understanding of French labor law and health‑care sector regulations.
