**Job Title:** Legal Personal Assistant – Real Estate
**Role Summary:**
Provide high‑level administrative and secretarial support to fee earners and partners within a real‑estate legal team, ensuring efficient client care, document management, and business development processes across all property‑life‑cycle functions.
**Expectations:**
- Manage complex diaries, client liaison, and confidential correspondence with precision.
- Coordinate billing, finances, and reporting while maintaining rigorous document standards.
- Deliver exceptional support during fee‑earner absences and support business‑development initiatives.
- Demonstrate flexibility, including occasional after‑office hours work as needed.
**Key Responsibilities:**
- Diary and appointment management, including meeting coordination and refreshments procurement.
- Electronic and physical file opening, closing, and upkeep.
- Email inbox governance: prompt triage, filing, and forwarding to appropriate fee earners.
- Client liaison: take messages, handle basic queries, and support client interactions.
- Collaborative support with other secretaries for back‑filled duties, ensuring continuity.
- Partner billing coordination: prepare WIP/aged debt reports.
- Draft and review legal documentation and correspondence to high‑quality standards.
- Document production management: oversee creation, formatting, and delivery, liaising with Document Specialists.
- Conference call scheduling and facilitation for fee earners.
- Prepare client registration, engagement/assignment letters, conflict checks, money‑laundering documentation, and audit letters per partner direction.
- Maintain CRM (InterAction) and fee‑earner contact lists; log business‑development activities and generate reports.
- Support marketing/business‑development admin: alerters, presentations, contact sheets, event planning, venue booking, and logistics.
- Arrange travel and produce travel packs.
- Conduct property searches via TM Group and Land Registry Portal, managing delivery.
- Perform ad‑hoc tasks and adapt to changing priorities.
**Required Skills:**
- Minimum 3–5 years’ experience as a Legal Secretary or Legal PA in a real‑estate environment.
- Excellent diary management, organisational, prioritisation, and teamwork abilities.
- Superior communication skills, professional telephone manner, and accurate message logging.
- Fast, accurate typing (≥65 WPM).
- Strong legal documentation production skills.
- Advanced Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Proven document/case management experience.
- Experience with a legal finance system and a CRM platform (e.g., InterAction).
**Required Education & Certifications:**
- A recognised qualification in Legal Administration, Paralegal Studies, or equivalent.
- No specific certification mandatory, but professional recognitions (e.g., LASS, ILAC) are an advantage.
