**Job Title:** Payroll Specialist
**Role Summary:**
Detail‑oriented payroll professional responsible for accurate, on‑time semi‑monthly and off‑cycle payroll processing for North America, including equity transactions and tax compliance. Partners with HR, Finance, Benefits, Engineering, and external vendors to maintain payroll integrity, improve processes, and support automation initiatives.
**Expectations:**
- Deliver precise end‑to‑end payroll runs and resolve discrepancies promptly.
- Ensure compliance with federal, state, local, and Canadian payroll tax regulations.
- Maintain confidentiality and high integrity in handling employee data.
- Proactively identify automation opportunities and drive continuous improvement.
- Communicate payroll policies, deductions, and tax matters clearly to employees and stakeholders.
**Key Responsibilities:**
- Process semi‑monthly, off‑cycle, and daily equity transactions (RSU vesting, NSO exercises).
- Perform monthly, quarterly, and annual payroll tax reconciliations and filings (Forms 941, 940, W‑2, T4).
- Document and uphold standard operating procedures for payroll operations.
- Validate payroll controls, flag exceptions, and coordinate escalations.
- Audit benefit data integrations between Workday and vendor systems.
- Collaborate with HR, Benefits, Finance, Engineering, and third‑party payroll providers.
- Provide employee support on payroll policies, deductions, and tax queries.
- Contribute to special projects, UAT, and ad‑hoc analyses as required.
**Required Skills:**
- 3+ years payroll processing experience, including multi‑state compliance.
- Proficiency with Workday and ADP SmartCompliance.
- Strong analytical and reconciliation abilities; problem‑solving mindset.
- Advanced Excel skills (VLOOKUP, pivot tables, complex formulas).
- Excellent written and verbal communication; relationship‑building aptitude.
- High integrity, confidentiality, and a proactive “can‑do” attitude.
- Focus on automation, process improvement, and independent as well as team work.
**Required Education & Certifications:**
- Bachelor’s degree in Business Administration, Accounting, Finance, or related field.
- Relevant payroll or tax certification (e.g., Certified Payroll Professional) preferred but not mandatory.
