**Job Title**: Officer, Defence Industrial Production Board
**Role Summary**
Serve as the primary secretary and policy adviser to the Defence Industrial Production Board (DIPB), a committee reporting to the Conference of National Armaments Directors. The role involves coordinating DIPB activities, managing information flow, drafting policy documents, and providing organisational support to the Board’s chair, vice‑chair, and working groups.
**Expectations**
- Act as the central point of communication for DIPB stakeholders.
- Ensure timely preparation, dissemination, and archiving of all Board‑related documents.
- Support the Board’s strategy implementation and adherence to NATO standards.
- Facilitate cross‑functional collaboration within NATO and with external partners.
**Key Responsibilities**
- Draft, edit, and finalize meeting minutes, agendas, circulars, and policy briefs in English or French.
- Coordinate the DIPB agenda development, circulate pre‑sessions and post‑session materials.
- Manage content and documents on SharePoint, ensuring version control and secure access.
- Provide administrative and organisational support to DIPB technical and thematic working groups.
- Liaise with NATO entities (AD, NATO Support and Procurement Agency, NATO Communications and Information Agency, EU bodies) to align DIPB outputs with broader industrial and capability initiatives.
- Advise the Board Chair and Vice‑Chair on policy matters, recommendations, and best‑practice transfers.
- Monitor and report on DIPB progress relative to the Division’s strategy and work plan.
- Maintain confidential information securely and in compliance with NATO regulations.
- Contribute to the development of DIPB’s policy framework, capacity‑enhancement measures, and interoperability standards.
**Required Skills**
- Strong written communication in English (Level V) and French (Level II) or vice‑versa.
- Drafting ability for concise, clear, policy‑level documents.
- Excellent interpersonal and teamwork skills in multicultural, multidisciplinary settings.
- Proficiency in MS Office, SharePoint, and general computer literacy.
- Ability to coordinate multiple stakeholders, schedule, and deliver within deadlines.
**Required Education & Certifications**
- University degree from a recognised institute or equivalent qualification in a relevant field (e.g., International Relations, Defence Studies, Industrial Policy, or equivalent).
- Minimum of 2 years’ experience organising and managing committee‑level activities.
- Understanding of NATO structures, defence‑industrial development, and current strategic trends affecting the Alliance.
