Studio Coordinator
**Role Summary**
Coordinate all aspects of the photography studio, ensuring timely availability of samples, efficient scheduling, studio upkeep, and accurate expense tracking. Serve as the central liaison between the studio team and cross‑functional departments (Social, Buying, Brand Partnerships, Retail Media) to support media production timelines.

**Key Responsibilities**
- Own the end‑to‑end sample management process: track deliveries, unpack, label, and store samples; coordinate with Social, Buying, Brand Partnerships, and Retail Media.
- Log sample receipt, ensure correct allocation per shoot, and maintain tidy storage spaces.
- Manage the photography calendar: schedule shoot and retouch days, notify photographers of delays, and update schedules as required.
- Conduct regular studio inventory and upkeep of equipment, kits, batteries, tape, color maps, and wires.
- Track and report studio expenses: update photography trackers, budget trackers, departmental credit card records, and upload receipts to the expense system.
- Raise purchase orders, book freelancer support, and arrange prop sourcing in collaboration with Art Director and Photographer.
- Process manual orders from the warehouse when needed for photo shoots.
**Required Skills**
- 1–3 years in a studio, photography, or creative coordination role, preferably within beauty, fashion, or retail.
- Exceptional organizational and planning abilities.
- Strong time‑management and deadline‑driven mindset.
- Clear, diplomatic communication with brands and internal stakeholders.
- Proficiency in Microsoft Office and Excel; knowledge of workflow systems (e.g., Monday.com) preferred.
- Ability to work independently and collaborate across teams.
- Flexibility to handle shifting responsibilities and competing priorities.
- Keen interest in the beauty industry.
**Required Education & Certifications**
- Minimum high‑school diploma or equivalent; vocational training in photography, studio operations, or related field is an advantage.
- No specific certifications required, but familiarity with expense and inventory systems is valuable.
