**Job title** Sales Team Administrator / Personal Assistant **Role Summary** Provide executive support to the Managing Director (Sales & Marketing) and Sales Director, and deliver comprehensive administrative and reporting services to the Sales & Marketing department. The role demands proactive time management, meticulous attention to detail, and the ability to thrive in a fast‑paced environment. **Expectations** - Operate independently with minimal supervision, exhibiting strong initiative. - Maintain prime focus on accuracy, confidentiality and compliance with company procedures. - Demonstrate the capacity to juggle multiple priorities and deliver consistent results against tight deadlines. **Key Responsibilities** 1. **Executive Calendar & Travel** – Proactively manage diaries for MD and Sales Director, schedule meetings and arrange national/international travel, visas, and accommodation. 2. **Financial Administration** – Process expense claims, maintain accurate financial records, support departmental budgets, reconciliation, and monitor variances. 3. **IFS & Systems Management** – Act as department super‑user: raise recruitment requests, issue purchase orders, update invoice logs, drawdown trackers, and create/maintain new project budgets. 4. **Leave & HR Records** – Control annual leave approvals via IFS, record sickness, manage onboarding/off‑boarding procedures. 5. **Reporting & Communications** – Compile and circulate monthly reports (Monday Sales Pack, development reports, sales targets, JV reporting, committee presentations), prepare cash‑flow management data, and generate presentation materials. 6. **Meeting & Event Support** – Schedule meetings, prepare agendas, take minutes, plan team social events. 7. **Documentation & Filing** – Maintain filing systems in SharePoint and Salesforce, ensuring all documents are current and accessible. **Required Skills** - Excellent verbal and written communication; ability to liaise with all organisational levels. - Strong organisational and multi‑tasking capabilities. - Proficiency in SharePoint and Salesforce. - Competence in preparing and editing presentations and business documents. - Knowledge of budget review, variance analysis and financial administration. - Skilled at drafting effective minutes and meeting agendas. **Required Education & Certifications** - Minimum of a bachelor’s degree in Business Administration, Finance, or a related discipline, or equivalent professional experience. - Demonstrated experience with IFS ERP (or similar enterprise application). - Professional certification (e.g., Certified Administrative Professional) is advantageous but not mandatory.
