**Job Title** Agency Assistant (F/H) **Role Summary** Provide comprehensive administrative and organizational support to senior managers and project teams in an engineering/architecture firm. Manage tender activities, partner coordination, project follow‑up, invoicing, and day‑to‑day agency administration to ensure smooth operations and high service quality. **Expectations** - Directly support the direction and project leads to optimize workflow and maintain project quality. - Act as a reliable interlocutor for internal teams and external partners. - Demonstrate adaptability, methodical work, and intellectual curiosity in a dynamic environment. **Key Responsibilities** 1. Monitor public tender notifications and prepare application dossiers. 2. Coordinate partner relationships for consortium and group‑project setups. 3. Assist colleagues with project logistics: scheduling meetings, tracking deliverables, and facilitating communication. 4. Manage invoicing, client follow‑ups, and agency financial administration in line with managerial instructions. 5. Handle office secretarial duties: agenda scheduling, reception (in‑person and phone), mail handling, supply orders, and general office coordination. **Required Skills** - Strong administrative and organizational abilities. - Experience in tender management and consortium preparation. - Project coordination and documentation skills. - Accurate invoicing and client communication. - Proficiency with Microsoft Office (Word, Excel, PowerPoint). - Comfortable using digital platforms such as CHORUS and other dematerialisation tools. - Excellent teamwork, communication, and multitasking. **Required Education & Certifications** - Minimum 2–3 years of experience in a similar role or a Bachelor‑level degree (Bac+2 to Bac+3) in a related field (engineering, architecture, construction, or administration). - No specific certifications required.
