Job Description
**Job title** ED/UTC Admin Coordinator **Role Summary** Coordinate and perform administrative and clinical clerical duties for the Accident & Emergency (A&E) and Urgent Care (UTC) departments. Serve as the first point of contact for patients, visitors, and staff, ensuring accurate data entry, smooth admission/discharge processes, and exceptional customer service across multiple sites. **Expectations** - Deliver high‑quality, confidential service within Trust and Caldicott guidelines. - Maintain professional communication and telephone etiquette. - Demonstrate discretion, empathy, and resilience when interacting with patients, families, and bereaved relatives. - Work flexible 24‑hour rotational shifts, adapting to changing patient volumes. - Collaborate effectively with clinical leads, support staff, and multidisciplinary teams. **Key Responsibilities** - Act as the primary front‑line contact for patients and visitors to the Emergency and UTC departments. - Input accurate, timely clinical data into the Cerner system; perform electronic admissions and discharges. - Manage patient records and clinical notes, ensuring compliance with data protection and Trust policies. - Handle enquiries from patients, medical staff, and the public, providing clear, compassionate information. - Support bereaved families by delivering sensitive communication and assistance. - Work cross‑site (Ealing, Northwick, St Mark’s, Central Middlesex) as required, optimizing administrative rotas. - Uphold confidentiality of all patient, staff, and service information. - Collaborate with departmental clinical leads to facilitate documentation for observation wards and other services. - Participate in shift coverage, ensuring continuity of service during peak and unpredictable periods. **Required Skills** - Strong customer‑service orientation, with clear communication and telephone skills. - Proficiency in Cerner (or equivalent clinical information systems). - Attention to detail and accuracy in data entry. - Ability to manage sensitive information and adhere to confidentiality, Data Protection Act, and Caldicott principles. - Resilience and emotional composure when dealing with distressing clinical scenarios. - Team‑working ability and flexibility across ED and UTC desks. - Organizational skills to manage shift rotas and operational priorities. - Basic administrative proficiency: filing, record‑keeping, and handling of paperwork. **Required Education & Certifications** - Minimum of a GCSE/Equivalent in English/Communication or higher. - Relevant healthcare administrative qualification or NHS workplace training preferred (e.g., NICD certification, AHP Support qualifications). - Completion of Trust‑specific induction and training on data protection and patient confidentiality. ---
