Job Title: Executive Assistant
Role Summary:
Serve as the senior support officer to the Managing Director of a built‑environment membership organization, managing complex executive schedules, coordinating board and stakeholder communications, and ensuring efficient operation of the Competent Person Scheme (CPS) administration.
Expectations:
- Deliver proactive, confidential assistance to senior leadership.
- Maintain high standards of accuracy, discretion, and professionalism.
- Exhibit strong organisational ability and proactive problem‑solving.
Key Responsibilities:
1. Executive Support
• Manage diaries, travel arrangements, and meeting logistics for the Managing Director.
• Prepare agendas, minutes, and action items; track follow‑ups.
• Handle confidential correspondence and documents.
• Support board and stakeholder communication, including presentations.
2. Administrative Support – CPS Team
• Assist with contractor registration, compliance documentation, and scheme recordkeeping.
• Generate and maintain performance reports and audit documentation.
• Coordinate training sessions, audits, and external visits.
3. Stakeholder Engagement
• Act as professional contact for members, partners, contractors, and external bodies.
• Liaise with suppliers and service providers.
4. Governance & Compliance
• Aid regulatory submissions and governance processes.
• Uphold data protection, confidentiality, and industry compliance standards.
Required Skills:
- Proven experience as an Executive Assistant, Personal Assistant, or senior administrator.
- Excellent written and verbal communication, with polished presentation skills.
- Strong organisational, time‑management, and multitasking abilities.
- High level of discretion, integrity, and attention to detail.
- Proficiency with Microsoft Office Suite, calendar management, and CRM or data systems.
- Demonstrated ability to support senior leaders and manage intricate schedules.
Required Education & Certifications:
- Minimum of a post‑secondary qualification (e.g., diploma, certificate, or degree) in business administration or related field preferred.
- Relevant professional certifications in office administration, project coordination, or compliance (e.g., CAE, Project Management Professional, or equivalent) desirable.
