Job Specifications
Reporting to the Proposal Manager, the Proposal Coordinator is responsible for coordinating and developing RFx1 responses focused on Transmission, Substation, Distribution or Telecommunications. The Proposal Coordinator works with clients, internal departments and subject matter experts during all stages of the bid life cycle; providing support in sourcing opportunities, gathering information, developing win strategies and differentiators with the goal of strengthening proposal content and presenting a consistent brand with a consistent message to our clients.
To succeed in this the position, the individual must possess the ability to complete the full proposal life-cycle with both limited supervision and as part of a team. Strong organizational skills and a proficiency for problem solving are key attributes for success in this role.
Requirements
Act as a primary liaison with the client during the bidding stage from initial inquiry to the post-bid stage
Identify response deliverables, establish submission schedules and communicate responsibilities and accountabilities to the response team
Coordinate proposal kick-off and review meetings, identify and track action items and maintain communication with team members regarding deadlines and requirements.
Proofread proposals to ensure they follow company standards for accuracy, quality writing, marketing focus and brand;
Ensure all prepared Proposals, proposal and qualification submissions are high quality, compliant and communicate our capabilities and value of service
Submit proposal responses using a variety of systems and methods; electronic, online bid portals, email and hardcopy;
Assist in developing and implementing win strategies, key messages, marketing themes and differentiators in proposal submissions
Coordinate and log Bid Debriefs and Lessons Learned for application on future submissions
Create and update boiler plate documents, templates, project profiles and team member resumes
Document management and distribution of client documents to the response team
Maintain information in Valard internal systems, as well as adhere to document control and reporting requirements.
Project Awards
Act as Client Liaison during the contract negotiation process
Generate a Project Award Notification to initiate project set-up in JDE; and to inform key internal groups and individuals and provide general details about the project
Assist in the RFx Turnover process by providing the Project Team access to working, and submitted, bid documentation, including any relevant supporting documentation (emails, meeting notes, post-bid communications, etc.).

EDUCATION AND EXPERIENCE:
Post-Secondary Degree in Marketing, Communications, Business; or a combination of relevant previous education and experience would be preferred
2+ years as a Proposal Coordinator, or lateral, experience
Project Management experience and/or training an asset
Demonstrated technical writing experience
Demonstrated experience in working in a schedule driven environment
