Role overview: We’re seeking a proactive, motivated Administrative Assistant who can keep the office running smoothly while providing basic accounting support. You’ll be the first point of contact for guests, manage appointments, and help with corporate operations. The ideal candidate is organized, customer-focused, and eager to learn across administrative, financial, and operational tasks. 

Key Responsibilities 

Administrative support:

Manage calendars, schedule meetings, coordinate complex appointments; handle calls, emails, and correspondence professionally; greet visitors and manage guest access. 

Finance support:

Assist with invoices, reimbursements, expense reports; support accounts payable/receivable, basic bookkeeping, and monthly close activities as needed; maintain accurate financial records. 

Corporate operations:

Oversee office supplies and facilities requests; arrange travel and team events; maintain digital and physical filing systems. 

HR support:

Assist with onboarding paperwork and timesheets (as needed). 

Compliance and data integrity: ensure data accuracy in systems; handle confidential information with discretion. 

Qualifications 

1 year of combined administration experience with exposure to basic accounting/finance tasks. 

Proficient in Microsoft 365 (Outlook, Word, Excel, PowerPoint). 

Strong organizational skills: ability to multitask and prioritize. 

Excellent written and verbal communication; professional phone etiquette. 

Customer-service mindset and professionalism when interacting with guests and colleagues. 

Basic bookkeeping knowledge (invoicing, expenses, reconciliations) is a plus. 

Ability to handle confidential information with integrity. 

Preferred Attributes 

Problem-solving mindset and initiative. 

Familiarity with calendar systems and travel booking tools. 

Attention to detail and accuracy in financial docs. 

Team player who can also work independently.
