Strategic Right Hand to CEO | Boutique Management Consulting Firm

Reports To: Founder & CEO

Work Model: Fully Remote

Commitment: 20-25 hours/week | Independent Contractor

About the Role

We're seeking a seasoned operations professional to serve as the strategic backbone of our boutique management consulting practice. We empower mission-driven nonprofit organizations to scale their impact through strategic guidance and organizational development. You'll be the engine that ensures this vital work runs smoothly.

You'll serve as the integrating force for our CEO and remote team of 6-10 independent consultants, creating order from complexity while maintaining the flexibility and responsiveness our entrepreneurial environment demands.

This isn't a traditional admin role—it's a high-impact position for someone who thrives on building systems, anticipating needs, and enabling a visionary CEO to focus on what they do best. You'll work with diverse nonprofit clients who require patience, professionalism, and a service-oriented mindset.

What You'll Own

CEO Partnership & Executive Support

Serve as trusted advisor and extension of the CEO across all operational matters
Proactively manage complex calendar, anticipating conflicts and optimizing time allocation to maximize CEO effectiveness
Prepare executive briefings, meeting materials, and follow-up documentation with meticulous attention to detail
Act as thoughtful gatekeeper, managing incoming requests with discretion, judgment, and professionalism
Handle confidential matters with complete integrity and discretion
Client Engagement Coordination
Orchestrate seamless client meeting logistics across multiple engagements with demanding nonprofit organizations
Manage client touchpoints with diplomacy, patience, and consistent professionalism
Navigate relationships with high-maintenance clients while maintaining firm boundaries and service excellence
Create and maintain client HUBs in Revver document management platform
Ensure client deliverables stay on track through proactive coordination and gentle accountability

Team Operations & Integration

Coordinate activities across remote team of independent contractors, serving as the connective tissue
Establish and refine administrative workflows and operational structures where none currently exist
Bridge communication gaps and keep distributed team aligned without formal authority
Drive adoption of systems and processes through influence, clarity, and consistent follow-through
Solve emerging operational challenges independently with resourcefulness and sound judgment
Systems & Documentation Management
Architect and maintain firm document management infrastructure in Revver platform
Build templates, SOPs, and resources that scale with the business
Manage SharePoint and collaboration tools as central knowledge hub
Continuously improve documentation and operational infrastructure to increase team efficiency

Who Excels in This Role

Experience Profile

5+ years supporting C-suite executives, preferably in consulting, professional services, or fast-paced entrepreneurial environments
Proven track record building operational structure and systems where none existed
Experience managing relationships with demanding or complex stakeholders, particularly in nonprofit sector
Demonstrated ability to coordinate remote teams and manage multiple priorities simultaneously
Comfortable with technology platforms and quick to learn new systems (Revver experience a strong plus)
