Job Description

CIMA+ is seeking an Executive Assistant to join our Ontario team. In this role, you will provide high-level administrative and organizational support to the Regional Executive Vice President and, as required, other senior executives. You will work closely with senior leadership across the region and play a key role in supporting efficient operations, clear communication, and the production of high-quality documentation.

This is a full-time, hybrid position requiring a minimum of 2 days per week in office at our Mississauga or Markham office (note, the CIMA+ Markham office will be open later this summer).

Primary Responsibilities

Manage calendars, schedules, and expense reports for the Regional Executive Vice President and other Senior Vice Presidents as required.
Plan, organize, and coordinate meetings, including room bookings, logistics, and preparation of materials.
Prepare, review, and format correspondence, reports, and other documents using appropriate corporate standards.
Provide support for the preparation, revision, and formatting of presentations, spreadsheets, reports, and other materials
Support senior leadership with administrative tasks such as travel coordination, itinerary planning, and related reservations.
Assist with document management, quality control, and version control of executive and departmental materials.
Support internal processes, including organizing meetings, tracking action items, maintaining management dashboards, and preparing meeting minutes when required.
Coordinate onboarding logistics for new employees, including office setup and liaison with IT, HR, and Accounting.
Establish and maintain strong working relationships with senior leaders, colleagues, and internal and external stakeholders.
Ensure a high standard of quality control for all written materials while maintaining strict confidentiality.
Provide general administrative support to senior leadership and regional teams as needed.

Qualifications

Post-secondary diploma in business administration or related discipline
Minimum 7 years of experience in an executive or senior administrative support role.
Excellent verbal and written English communication skills
Advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Visio) and Adobe Acrobat Pro.
Strong organizational skills with the ability to manage multiple priorities and work effectively under pressure.
Excellent judgment, attention to detail, and the ability to work collaboratively across multiple files and teams.
Demonstrated professionalism, discretion, and respect for confidentiality.
