**Job Title**
Executive Assistant
**Role Summary**
Provide executive‑level administrative support to two senior Directors in a boutique financial services placement firm. Manage complex calendars, coordinate high‑profile meetings and investor roadshows, handle full travel arrangements, and maintain CRM and financial processes to enable smooth day‑to‑day operations.
**Expectations**
* Act as the primary point of contact for internal and external stakeholders, including institutional investors and fund managers.
* Deliver highly accurate, timely support across multiple time zones and rapid‑changing priorities.
* Demonstrate discretion, professionalism, and proactive problem‑solving in a confidential, transaction‑driven environment.
**Key Responsibilities**
* Manage complex diaries across multiple time zones for two Directors.
* Coordinate internal and external meetings with institutional investors and fund managers.
* Assist with investor roadshows, fundraising schedules, and conference planning.
* Provide full travel management (UK & international), including itineraries, visas, and expense reconciliation.
* Prepare meeting agendas, materials, and follow‑up actions.
* Create, format, and refine presentations, pitch decks, and investor documents.
* Maintain Salesforce CRM, ensuring accurate contact and interaction records.
* Process expenses, invoicing, and related administrative tasks.
**Required Skills**
* Proven Executive Assistant experience in placement agencies, private credit, private equity, asset management, investment banking, or alternative investment firms.
* Proficiency in Salesforce and Microsoft Office (Word, Excel, PowerPoint).
* Excellent written and verbal communication; confident engaging senior stakeholders.
* Highly proactive, detail‑oriented, and able to work independently while protecting confidential information.
* Strong organizational and prioritization abilities in a fast‑paced setting.
* Team‑player mindset with the ability to collaborate across departments.
**Required Education & Certifications**
* Bachelor’s degree in Business, Finance, or a related field.
* Additional certifications (e.g., Certified Administrative Professional, CFP‑Admin) are a plus but not mandatory.
