Job Title: Executive Assistant, Brands
Role Summary:
Provide comprehensive, high‑level administrative support to the President and Senior Vice President of Product Creation and Development, managing their daily operations, communications, and schedules to ensure efficient leadership execution in a fast‑paced environment.
Expectations:
- Minimum 5 years of executive assistant or senior administrative experience, preferably supporting multiple C‑level executives.
- Operate independently with minimal supervision, demonstrating discretion, emotional intelligence, and a proactive, solutions‑oriented mindset.
- Adapt quickly to changing priorities, manage high‑impact meetings, and maintain confidentiality of sensitive information.
Key Responsibilities:
- Manage complex calendars, prioritize appointments, and serve as gatekeeper for both executives.
- Coordinate thorough travel arrangements, itineraries, travel documentation, and expense reporting.
- Filter and triage email, calls, and approvals, ensuring leaders receive only essential communications.
- Schedule cross‑functional meetings across time zones, arranging logistics, A/V, catering, and briefing materials.
- Track deadlines, key initiatives, and time‑sensitive deliverables, adjusting schedules proactively.
- Liaise between executives, direct reports, internal partners, and external stakeholders.
- Assist in planning and executing leadership summits, town halls, offsites, and team‑building events.
- Prepare presentations, reports, and other materials for internal and external audiences.
- Collaborate with HR on people and culture initiatives such as workshops and onboarding.
Required Skills:
- Mastery of calendar, travel, and scheduling tools; proficiency in Microsoft Office, Google Workspace, SAP Concur, Zoom, and Slack.
- Excellent written and verbal communication, with strong judgment and attention to detail.
- Ability to work independently, prioritize, and make decisions with minimal guidance.
- Discretion, dependability, emotional intelligence, resourcefulness, calmness under pressure, and adaptability to fast‑changing demands.
Required Education & Certifications:
- Bachelor’s degree (or equivalent experience).
- No mandatory certifications; executive assistant or related professional development courses are an advantage.
