**Job Title:** Executive Assistant **Role Summary:** Provide executive-level support to the Managing Director of the Private Equity division and the wider team. Manage complex schedules, travel logistics, expense processing, and ad‑hoc administrative duties in a fast‑paced financial services environment. **Expectations:** - Serve as the primary point of contact for internal and external stakeholders. - Maintain proactive oversight of the Managing Director’s diary, ensuring optimal prioritisation of meetings and commitments. - Deliver accurate and timely travel arrangements, expense reports, and confidential documentation. - Demonstrate flexibility to accommodate hours beyond core business time as required. - Uphold a high standard of professionalism, discretion, and problem‑solving aptitude. **Key Responsibilities:** 1. Gatekeeping and scheduling for the Managing Director and junior executives. 2. Organise complex, frequent travel itineraries (domestic and international) and manage associated logistics. 3. Process and reconcile expense reports and travel requisitions. 4. Perform ad‑hoc administrative tasks: document preparation, meeting minutes, presentation support, and data entry. 5. Coordinate cross‑functional communication and information flow within the Private Equity team. 6. Maintain knowledge of industry regulations and internal policies to ensure compliance. 7. Serve as liaison between the MD, senior leadership, and external partners. **Required Skills:** - Advanced proficiency in Microsoft Office (Excel advanced functions, PowerPoint slide design, Outlook calendar management). - Strong written and verbal communication in English. - Demonstrated ability to prioritise, multitask, and manage competing deadlines. - Excellent organisational and time‑management skills. - Sharp attention to detail and accuracy. - Proactive problem‑solving mindset. - Collaboration orientation with a “no task too big or too small” attitude. - Confidentiality and discretion with sensitive information. **Required Education & Certifications:** - Bachelor’s degree (or equivalent) in business administration, finance, or related field preferred. - Prior experience in financial services, boutique investment, or asset‑management environments is highly desirable. ---
